Selecting a New Telephony System
In recent years, organisations have increasingly turned their attention to the benefits of VoIP systems when looking for a business phone system. Moreover, fully managed VoIP telephony systems in the cloud are now the logical choice for SMEs. A fully managed telephone system frees you from the cost and maintenance of traditional hardware and enables business operations regardless of location or even the need for physical offices.
So how do you go about selecting a solution to suit your business? There are some basic pillars that you can frame your selection process on:
Expect and demand world class functionality from your new system. Call forwarding, call recording, auto attendant, voicemail, conferencing, voice to email transcription, and secure archiving are all features that should be standard.
- Cost Effectiveness
Hosted telephony can have a positive impact on your overall revenues and profitability; with many businesses seeing large reductions in overall costs. Make sure you understand total costs for the initial installation, feature upgrades, international and local tariffs, and staff training.
As a business owner you want a system that can grow with you, accommodate changing needs and even scale back should that be required. The system should be able to deal seamlessly with additional users, DDIs, extensions and new physical locations. It should also offer the ability to activate new or additional services without impacting users and at minimal cost.
VoIP should be compatible with handsets and conferencing devices from all leading manufacturers; however, it should also offer the opportunity to ditch physical phone handsets and switch to soft clients on your PC or laptop. Perhaps more importantly a soft client can provide a fully featured service on your mobile phone; so be sure to select a product that is compatible with your computer and mobile devices.
- Integration with other systems
Integration with your other business systems is pretty much a given in terms of requirements; think Microsoft Teams, Dynamics, Salesforce and Pipedrive. Also, if you have been using separate systems for online meetings, you could expect to achieve reductions in teleconferencing costs.
- Security & Resilience
Ensure that the system provides end-to-end encryption which means that the only people who will be able to access calls and messages are the senders and recipients. Ensure that call recordings are stored safely, preferably as immutable storage (cannot be changed or modified), and that any administration portal is appropriately secured. Ideally the system should be available from multiple data centres to ensure continuity of service if any one of those sites experience a problem.
The solution you choose should depend entriely on your current and future business needs. don’t settle for anything less.
